Entry application procedure

Applications to enter the Contest are made using the New Cosmos of Photography’s Web Application System. To make an application, you will need a computer or smartphone that can access the New Cosmos of Photography website as well as a printer. (If you are unable to access or print from the Internet, please see Q2 in the FAQs section.)

The first step is to register your information with the Web Application System. Please write down your Entry Number that appears on the screen after you register.

The following steps depend on whether you are submitting a digital entry (still images or videos / movies) online or a physical entry by postal mail or courier. Entries will be judged fairly regardless of which submission method you use, so choose the form that is best for you. If you submit your entry in digital form (still images or video), the data you send will be judged as the work in its final form. If you wish your work to be eventually exhibited as prints, panels, or in book form, it is best to send your work in its completed form by postal mail or courier.

Note that if you are submitting your work by postal mail or courier, be sure to list the work’s format correctly on the application form to prevent it from being lost or sent to the wrong location.

1. Enter your data on the Web Application System

First, navigate to the Web Application System and enter your information correctly. After all the entered details are complete and correct, the system will display your Entry Number. Be sure to record and save your Entry Number. Also write down and save the Application Password you entered so that you don’t forget it. You can update the description of your entry as many times as you like during the application period using your Entry Number.

2. Submit your work

A. Submitting a digital entry (still images or videos / movies) online

Follow the steps below to submit your entry.

Registration of your work information and Exhibition Plan.

To submit a digital version of your entry (still images or videos / movies), after entering your information, navigate from the Web Application System and upload your Exhibition plan.
Note : Add your idea here as a picture or text.

Example Exhibition plan : Exhibition plans for the "New Cosmos of Photography Exhibition 2018"
Size of the wall : H 4m × W 4.5m
*Any written format, JPEG or PDF, no larger than 5 MB.

Use the required Artist Statement field to present your work in words, including such information as the creative intent of the work, what you want to express through the work, and the attraction and passion in the work. You may write in any format you like.

Upload your work

Upload your data (still images or videos / movies). Application procedure will be completed after you upload your data.

Important!

• Steps A-1 will not be accepted after 23:59 (JST) on Wednesday, June 6, the deadline for entry applications.
• Steps A-2 can be entered and revised until 23:59 (JST) on Wednesday, June 13, the deadline for entry submissions.

Note: The entry application server will be busy just before the deadline of the submission, which may cause some troubles to your entry. Therefore, please complete all of your entry application well in advance.

B. Submitting a physical entry by postal mail or courier

Follow the steps below to submit your entry by postal mail or courier.

Registration of personal information

Please resister your personal information and Password then your Entry Number will be issued.

Registration of your work information and Exhibition Plan.

• To submit a physical entry by postal mail or courier, after entering your information, navigate from the Web Application System and upload your Exhibition plan.
• Please enter a description of your entry.
• After registering your entry, click the Download Entry Card / Delivery Label button to download a pdf file of your Entry Card and Delivery Label. You will need the downloaded Entry Card and Delivery Label to send in your entry. Note: The second page of the pdf file is Delivery Label.

Important!

• Steps B-1 will not be accepted after 23:59 (JST) on Wednesday, June 6, the deadline for entry applications.
• Steps B-2 can be entered and revised until 23:59 (JST) on Wednesday, June 13, the deadline for entry submissions.

Print your Entry Card

Print the downloaded pdf file of your Entry Card on A4 paper. Four copies of the Entry Card will be printed on one A4 page.

Finish your entry

Please complete the entry work you will submit.
If the description of your entry changes during the creation process, please use your Entry Number and Application Password to edit the description on the Web application system. You can edit the description as many times as you like during the submission period. After ensuring the description is complete and correct, download your new Entry Card. Repeat step B-2.

Make copies of your Entry Card and fill in the item sequence numbers

If your entry consists of multiple books or multiple objects or if it includes multiple prints, individually framed photos, or photo panels, please follow the steps below.

• (A):You will need enough Entry Card copies for all the individual items in your entry. If you are submitting books in slip cases and would like the slip cases returned to you, make enough copies of your Entry Card for each separate slip case as well. (Note that entries from outside Japan returned cannot be.)
• (B):Fill in the item sequence numbers on the Entry Cards sequentially starting from 1. Write using a black ballpoint pen. Check that on the final Entry Card the item sequence number equals the total number of items. You do not need to fill in item sequence numbers on Entry Cards for any book slip cases you want returned.

Attach the Entry Cards to your entry

Attach the Entry Cards as follows on the front of each item being submitted so the cards are clearly visible.

(A) Book

Attach one Entry Card on the front cover of each book. Also attach one Entry Card created in Step B-5 on the front of each book slip case if you wish the book slip cases to be returned to you. Please note that we cannot return hardware without a Entry Card attached (book slip cases, strings, ribbons, metal fixtures, cloth wrappings, etc.).

(B) Photo print

Attach one Entry Card to each print as shown below.

(C) Panels and frames

Attach one Entry Card to each panel and frame as shown below.

(D) Objects

Attach one Entry Card to each object as shown below.

(E) Other shapes

Be sure to attach one Entry Card to each item as shown below.

Create instructions for the layout of your entry

If the display of your entry work requires special instructions, please the following procedure.

1. Create the layout instructions for your entry on a single sheet of A4 paper.
   Draw a clear, simple diagram of your desired layout. Identify the photos or other items in the diagram using the sequential item numbers. Also, be sure to write your Entry Number in one corner of the layout instructions.
2. Put the A4 sheet with the layout instructions in an envelope and write your Entry Number and “Layout instructions enclosed” on the front of the envelope. Include the unsealed envelope in your entry package. The judges will refer to your layout instructions if space in the selection room permits.

Note that you do not need to send layout instructions if your work does not require any specific layout. If there are no layout instructions, the Secretariat will choose the best layout.

Package your entry

1. If you have prepared Display Instructions for your entry, please be sure to include them with your entry work.
2. After packing your entry, please attach the delivery label per package.
3. If you will send multiple packages, please fill in “serial numbers / the number of packages” (ex, 1/3, 2/3, 3/3).

Send in your entry

Please send your entry by postal mail or courier to the Entry Application Center below during the submission period for entries.

Entries are accepted from Wednesday, April 18, 2018 – Wednesday, June 13, 2018. Submissions by post must arrive no later than the last day.

*Please give a detailed explanation of your work in "artist statement" and write your plan how you would like to display your work at the New Cosmos Exhibition in "Exhibition plan."

Please upload your data each (still images or video/movies). If you want to submit your work by postal mail or courier, register your work form to apply for.

*After registering your entry, click the Download Entry Card / Delivery Label button to download a pdf file of your Entry Card and Delivery Label. You will need the downloaded Entry Card and Delivery Label to send in your entry. Note: The second page of the pdf file is Delivery Label.

Select a work form to apply for

After you upload your work, please choose each form of your data. Check the final form to apply for on “Decide your application method” and click a button of “Apply with your selected work form” then your entry will be completed.

The acceptance period for New Cosmos of Photography 2018 (41st competition) has expired.
